In order to keep the gym running effectively and transparently, and to ensure that we do our due diligence, whether it be in pursuing trading relationships with self-employed individuals (such as coaches), or certifying our practices in order to protect ourselves and others in the co-op legally, we have a responsibility to produce and maintain records and documents.
Rules (Code of Conduct & Terms of Participation) are the set of expectations and responsibilities by which we abide and by which others agree to abide by when using BCG's services.
Policies are the guiding principles that provide the framework for decision making within the co-op. They provide transparency and are legally binding.
Other documentation includes: contract agreements (such as the venue hire contract, associate contracts and MoUs), insurance, FCA confirmation and signed applications, funding grant confirmation letters, plus more (see below in 'Other Official Documents'). Some of these documents are legally binding and some like MoUs are not.
Documents are necessary to support us in financial compliance, protect the co-op's integrity or as evidence in legal cases.
They provide insight into our business dealings, provide governance and contain details of our internal and external business interactions, useful for maintaining our position as a co-operative and providing context and structure to our future endeavours.
