There must be a facilitator present at sessions/events at the gym as they have building access and have undergone the BCG induction and Brick's building induction (as per our Health and Safety policy and Brick's policy.) There is also the potential that the facilitator needs to be first aid trained depending on the nature of the hire.
However, it is possible to hire out the gym externally and there are a few scenarios where it is viable and workarounds to allow this to happen:
1) If you are a BCG facilitator and you have friends or family that wish to hire the gym, then you can be responsible for opening up/closing for them and staying with them as a facilitator of their event. Alternatively, if you are not a facilitator, but you have friends or family, or you yourself are interested in hiring the gym, then you could start a discussion on Loomio stating the desire to hire and gauging the interest of any facilitators who might be willing to volunteer their time to facilitate the event.
2) On occasion Bricks contact us with someone who is interested in hiring and Bricks themselves offer to open and close for us.
3) For people who want to do block or repeated bookings, it's more feasible to create a working relationship with and to hire out to them (without a BCG facilitator or Bricks representative present) as it becomes more worthwhile to organise BCG and Brick's Building inductions for a member of their team.
With that in mind, it's worth noting that our gym inductions consist predominantly of H&S and pointing people towards the risk assessment and other relevant documents.
All requests for externally hiring the gym should be taken to a new discussion on Loomio as every request is decided on a case by case basis.
Room hire contract: If it is decided that the hire will go ahead, the people requesting should be sent an email with the contract attached for them to sign and send back along with an invoice: Invoice for room hire template.
The T&Cs in the room hire contract refer to various fire risk assessments and paperwork, so in circumstances where Bricks have referred someone to us, it's worth asking them if they have already completed some of these steps in regards to their other room bookings with Bricks as we may be able to use the same paperwork to avoid duplication.
Payment for the room needs to be 30 days before the event (although again, in certain cases this can be waived if time is tight and in the right circumstance and with the support of the other members, as long as payment is still made in full prior to the day of the booking.)
The cost of hire is £30 per hour.
